What an invoice should include
A clear invoice gets paid faster and avoids queries. The main parts are:
Business and customer details
Your name or company, address, contact details and any tax or company number, plus the customer’s name, company and address. Some countries require a tax ID on tax invoices, so check your own rules.
Invoice number, dates and reference
A unique invoice number, usually in sequence, lets both sides track it. Add the issue date and a due date, and a purchase order or project reference if the client uses one.
Products or services
One line per item with a description, quantity and price. Specific descriptions such as “Logo design, 3 concepts” cause fewer disputes than “Design work”.
Taxes, discounts and payment terms
Show the tax name and rate, any discount, and the total due. Add payment details such as bank account or payment link, and terms such as late fees, in the notes or terms boxes.
How the totals are calculated
The subtotal is the sum of quantity × price for each line. A discount, as a percentage or a fixed amount, comes off the subtotal, and tax is charged on what remains. Shipping is then added after tax and is not taxed, so include taxable delivery as a normal line item instead.
For example, lines of £450, £120 and £62 make a subtotal of £632. A 10% discount of £63.20 leaves £568.80. VAT at 20% adds £113.76, and £8.00 of shipping brings the total to £690.56. If the client has already paid £300, the balance due is £390.56. (Figures shown in GBP as an example; the invoice tool lets you choose any currency.)
If your prices already include tax, tick “Prices already include tax”. The same £568.80 then contains £94.80 of tax, and the total with shipping is £576.80. To check a tax-inclusive price yourself, use the VAT calculator, and to work out a percentage or stacked discount before you enter it, use the discount calculator.
Draft, unpaid, paid, overdue and partly paid
Set the status yourself to match reality: Draft, Unpaid, Paid, Overdue or Partially paid. Paid and overdue invoices show a stamp, and for a partial payment you enter the amount received so the balance due is worked out. The status is not changed automatically when the due date passes, so update it when you send a reminder.
Templates, colours and branding
There are ten layouts, from a plain classic style to a narrow receipt, eight ready-made colour themes, and a colour picker for the accent, header, text, table, stripes, panel, lines and paper. You can choose from five fonts, upload a logo and a signature, and rename labels such as “Bill to”. Some fonts load from Google Fonts, but the content of your invoice is not sent anywhere.
Who uses an invoice generator
The same tool suits different situations, with different things to watch.
Freelancers
Bill by the hour or by project and state payment terms clearly. If you are unsure what rate to charge, work it out first with the freelance rate calculator.
Small businesses
Keep sequential numbers, show tax properly and record whether each invoice is paid. The profit margin calculator helps check that your prices leave a margin after fees.
Contractors and tradespeople
Itemise labour and materials as separate lines, and use the discount and deposit (partly paid) features for quotes with part payments up front.
Common invoice mistakes
- Missing or duplicate invoice numbers.
- No due date or payment details.
- Mixing prices with and without tax.
- Vague item descriptions.
- Forgetting the currency.
Downloads are created in your browser: the PDF pages are images of the invoice, so the text in the file cannot be selected. Your draft is stored only in your own browser storage, and New invoice or Reset all clears it.
Frequently Asked Questions (FAQs)
Fill in your business and client details, add your items with quantity and price, choose the tax and discount, and pick a template. The invoice updates live on the right. When it looks right, press Download PDF.
Yes. Choose Draft, Unpaid, Paid, Overdue or Partially paid. Paid and overdue invoices get a stamp, and for partial payments you enter the amount already received so the balance due is worked out for you.
Yes. There are ten layouts and eight ready-made colour themes, and every colour can be edited with its own colour picker: accent, header, text, table, row stripes, info panel, lines and paper.
Yes. Upload a logo and, if you like, a signature image. Any common image file works; a transparent PNG looks best on coloured templates because there is no white box around it, while a JPG is fine on a plain white background. Both images stay in your browser, are resized automatically and appear on the PDF, Word, PNG and printed versions.
Enter your tax name and rate, for example VAT 20%. Any discount, as a percentage or a fixed amount, comes off the subtotal first, and tax is charged on what is left. If your prices already include tax, tick “Prices already include tax” and the tax is worked out from them instead. Shipping is added after tax and is not taxed. Check your local rules for what a valid tax invoice must show.
No. Everything is created in your browser and saved as a draft in your own browser storage so you can come back later. Nothing is sent to our servers, and Reset all or New invoice clears it.
It contains the details most countries expect, such as seller, buyer, number, date, items, tax and total. Requirements differ by country, so check that yours includes anything your tax authority requires, such as a tax ID.
Use the buttons above the preview. Download PDF saves a PDF file, Word saves an editable .docx file, PNG saves an image you can paste into an email or chat, and Print opens your browser’s print dialog, where you can also choose Save as PDF. The pages of the PDF are images of the invoice, so its text cannot be selected; use the Word file if you need to edit the text later.
In everyday use the words overlap. An invoice is a document a business sends to ask for payment, with a number, date, items and a due date. “Bill” is often used for the same thing, or for a request to pay straight away, such as a restaurant bill. This tool makes invoices, and you can change the document title to Bill, Receipt or Tax Invoice, so it works as a bill too.
There is no automatic recurring invoice, and nothing is sent for you. Your current invoice is saved as a draft in this browser so you can come back to it. For next month, press New invoice: it keeps your business details, logo, template, tax and payment terms, moves to the next invoice number and sets today’s date with a due date 14 days later, but clears the client and items, so add those again. Download each invoice to keep a copy.
